Copy Group to Create New Groups

Stay allows users to copy an existing group and create a new group instantly by choosing the required information from the original group.

Permission

The following permission must be assigned to allow users to copy and create a new group:

  • Stay_CopyGroup

This permission is provided to users with access to the following roles by default:

  • System Administrator

  • Stay Hotel Manager

  • Department Manager

  • Stay Hotel Supervisor

Copying a Group

When the flag, Allow Copy Groups, is enabled for the property, users with the Stay_CopyGroup permission can copy a group irrespective of its status by clicking on Copy Group in the Group Booking tab of the Group screen. When clicked, the Copy Group screen appears that allows users to select from the following details displayed:

Field

Description

Group Name

  • This is a mandatory field that is displayed empty by default.

  • Users can enter the same name or a different name for the group.

  • The following message is displayed when users save a group with an existing name: A group with the same name “XXX” already exists. Please change the name if needed”.

Group Code

  • This is a mandatory field that is displayed empty by default as the group code should be unique and cannot be copied from the original group.

  • Users must enter a unique code for the new group.

Status

This is a mandatory single-select drop-down list that displays the status of the original group pre-selected by default. If the status of the original group is Cancelled or Turndown, users can select the applicable status for the new group from the following options:

  • Inquiry

  • Prospect

  • Tentative

  • Definite

Group Stay Dates

Users can select the arrival and departure dates for the new group.

  • If the arrival and departure dates of the original group are in the future, the Arrival and Departure checkboxes will be enabled and selected.

  • If the arrival and departure dates of the original group are in the past, the Arrival and Departure checkboxes will be disabled and users must select the required dates.

  • Based on the dates selected, the Nights field will be automatically calculated and displayed.

Room Blocks/Contract/Rate

If the total number of nights is the same as that of the original group, users can copy the Room Blocks, Contracts, and Rates for the rooms.

  • If the nights match, the Room Blocks, Contracts, and Rates checkboxes will be enabled for the user to choose them for copying.

  • Users can uncheck the fields that are not required to be copied to the new group.

Group Shoulder Dates

Users can select the arrival and departure shoulder dates for the new group.

  • If the arrival and departure shoulder dates of the original group are in the future, the Arrival Shoulder Date and Departure Shoulder Date checkboxes will be enabled and selected.

  • If the arrival and departure shoulder dates of the original group are in the past, the Arrival Shoulder Date and Departure Shoulder Date checkboxes will be disabled and users must select the required dates.

  • Based on the dates selected, the Nights field will be automatically calculated and displayed.

Room Blocks/Rate

  • If the total number of nights in the Arrival Shoulder Date is the same as that of the original group, the user can copy the Room Blocks for the rooms for the arrival shoulder dates.

  • If the arrival shoulder date nights match the original group, the Arrival Shoulder Dates Block checkbox will be enabled.

  • This checkbox allows users to copy the Room Blocks for the nights between the Arrival Shoulder Date and Arrival Date.

  • Once the Arrival Shoulder Dates Block is enabledthe Room Blocks checkbox will be enabled for the user to choose them for copying.

  • Users can deselect the fields that are not required to be copied to the new group.

  • If the total number of nights in the Departure Shoulder Date is the same as that of the original group, the user can copy the Room Blocks for the rooms for the departure shoulder dates.

  • If departure shoulder date nights match the original group, the Departure Shoulder Dates Block checkbox will be enabled.

  • This checkbox allows users to copy the Room Blocks for the nights between the Departure Shoulder Date and Departure Date.

  • Once the Departure Shoulder Dates Block is enabledthe Room Blocks checkbox will be enabled for the user to choose them for copying.

  • Users can deselect the fields that are not required to be copied to the new group.

Room Type Blocks

This section allows users to copy the room types available in the original group.

  • All the room types available in the original group will be displayed with the checkboxes enabled.

  • Room type blocks will copy the room types from the original group to the new group.

  • Users can uncheck the room types that are not required to be copied to the new group.

  • The Select All option is provided for the room type blocks to copy all room type blocks from the original group.

  • If the Room Blocks, Contracts, and Rates checkboxes are enabled to copy, then at least one room type must be selected for copying.

Other Group Details

The following fields will be displayed in this section if data for the fields is available in the original group.

Post Room Revenue As

  • Transaction items selected in the original group are displayed.

  • By default, the checkbox will be selected to copy the items to the new group.

  • Users can uncheck the checkbox if they choose not to copy the item and use a different item for the new group.

  • If users uncheck the checkbox, the Post Room Revenue As field will be made mandatory for selection in the next step.

  • If the transaction selected in the original group is inactive, the user must select a different transaction item in the next step. 

Cancellation Policy

The cancellation policy selected in the original group will be displayed below this field.

  • By default, the checkbox will be enabled to copy the policy to the new group.

  • Users can uncheck the checkbox if they choose not to copy the policy and use a different policy for the new group.

  • If users uncheck, then the cancellation policy must be selected in the next step as it is mandatory.

  • If the policy selected in the original group is inactive, users must select a different policy in the next step. 

Deposit Policy

The deposit policy selected in the original group will be displayed below this field.

  • By default, the checkbox will be enabled to copy the policy to the new group.

  • Users can uncheck the checkbox if they choose not to copy the policy and use a different policy for the new group.

  • If users uncheck, then the deposit policy must be selected in the next step as it is mandatory.

  • If the policy selected in the original group is inactive, users must select a different policy in the next step. 

Preferred Language

The preferred language selected in the original group will be displayed below this field.

  • By default, the checkbox will be enabled to copy the preferred language to the new group.

  • Users can uncheck the checkbox if they choose not to copy the preferred language and use a different language for the new group.

  • If users uncheck, then the preferred language must be selected in the next step as it is mandatory.

  • If no preferred language is selected in the original group, this field will not be displayed. 

Payment Type

The payment type selected in the original group will be displayed below this field.

  • By default, the checkbox will be enabled to copy the payment type to the new group.

  • Users can uncheck the checkbox if they choose not to copy the payment type and use a different payment type for the new group.

  • If users uncheck, then the payment type must be selected in the next step as it is mandatory.

  • If no payment type is selected in the original group, this field will not be displayed. 

Booking Type

The booking type selected in the original group will be displayed below this field.

  • By default, the checkbox will be enabled to copy the booking type to the new group.

  • Users can uncheck the checkbox if they choose not to copy the booking type and use a different booking type for the new group.

  • If users uncheck, then the booking type must be selected in the next step as it is mandatory.

  • If no booking type is selected in the original group, this field will not be displayed. 

Suppress Rate

  • This field will be displayed only if enabled in the original group.

  • Enabled status will be displayed below this field.

  • By default, the checkbox will be enabled so that suppress rate will be enabled in the new group.

  • Users can uncheck the checkbox if they choose not to enable it in the new group.

  • If users uncheck, the suppress rate can be enabled in the next step.

Wholesaler

  • This field will be displayed only if enabled in the original group.

  • Enabled status will be displayed below this field.

  • By default, the checkbox will be enabled so that wholesaler will be enabled in the new group.

  • Users can uncheck the checkbox if they choose not to enable it in the new group.

  • If users uncheck, the wholesaler can be enabled in the next step.

Tax Exempt

  • The tax-exempts added for the original group are displayed in this section.

  • All the tax classes that are exempted are displayed with checkboxes.

  • By default, all the tax classes checkboxes are enabled, and all tax exemptions are copied to the new group.

  • Users can uncheck the checkboxes if they choose not to copy the tax classes to the new group.

Marketing Details

  • Marketing detail of the group, such as Guest Type, Source of Business, and Market Segments, are displayed in this section.

  • If any of this is marked as mandatory for the group at the property level, the original group will have data that is displayed in this screen.

  • If none of the data is applicable/selected in the group, then this section is not displayed.

Guest Type

The Guest Type selected for the original group is displayed.

  • By default, the checkbox will be enabled so the guest type will be copied to the new group.

  • Users can uncheck the checkbox if they choose not to copy it to the new group.

  • If users uncheck, the guest type can be enabled in the next step.

Source of Business

The Source of Business selected for the original group is displayed.

  • By default, the checkbox will be enabled so the Source of Business will be copied to the new group.

  • Users can uncheck the checkbox if they choose not to copy it to the new group.

  • If users uncheck, the Source of Business can be enabled in the next step.

Market Segment

The Market Segment selected for the original group is displayed.

  • By default, the checkbox will be enabled so the Market Segment will be copied to the new group.

  • Users can uncheck the checkbox if they choose not to copy it to the new group.

  • If users uncheck, the Market Segment can be enabled in the next step.

Group Contacts

  • If contacts are added to the original group, this section is displayed with the option to choose the contacts to copy.

  • The total number of contacts in the original group will be indicated with the number near the Contact field.

  • In this section, all the contacts are displayed with a checkbox for each to copy to the new group.

  • By default, all the contact checkboxes are enabled to copy all contacts.

  • For each contact the following details are provided: Name of the contact (Profile Name), Phone, and Email Address.

  • If email or phone is not available for a contact, they are not displayed.

  • Users can uncheck the contacts that are not required to be copied.

  • Once the copy is completed, all the contacts selected in this screen are copied to the new group.

Group Events

  • If there are any future events available for the group, they can be copied to the new group with the same date and time.

  • If events are added to the original group, this section is displayed with the option to choose the events to copy.

  • The total number of events in the original group will be indicated with the number near the Event field.

  • This section displays all the events with a checkbox for each to copy to the new group.

  • By default, all the event checkboxes are enabled so that all the events are copied.

  • For each event, the following details are provided: Event Name, Time of Event, and Date of the Event.

  • Users can uncheck the events that are not required to be copied.

  • Once the copy is completed, all the events selected are copied to the new group.

  • Only the events with future dates will be available to copy and the past events will not be displayed.

  • If all the events are in past dates or no events are available in the original group, then this section is not displayed.

Group Comments

  • If comments are added to the original group, this section displays options to choose the comments to copy.

  • The total number of comments in the original group is indicated with the number near the Comment field.

  • In this section, the Copy Comments checkbox is available, which is enabled by default to copy the comments to the new group.

  • Users can uncheck the checkbox if they are not required to be copied.

  • Once the copy is completed, all the comments in the original group will be copied to the new group.

  • If no comments are available in the original group, then this section is not displayed.

Routing Rules

  • If the original group has a routing rule added in the Folio and Routing Rules section, they can be copied to the new group.

  • If any routing rules are added, they are displayed in this section.

  • Two sections are available: Group Reservation Rules and Group Account Rules.

  • Based on the availability of the routing rules in the original group, they are displayed in this section. 

Group Reservation Rules

  • The routing rules added under the Group Reservation Rules are displayed in this section.

  • The routing rules in which the All reservations in group checkbox are selected are only displayed in this section.

  • By default, the applicable routing rules are displayed individually and selected in this modal, which will copy them to the new group.

  • Users can uncheck the routing rule checkbox if they are not required to be copied.

  • If no group reservation routing rules are enabled with the above option or no group reservation rules are available in the original group, this section is not displayed.

  • Once the copy is completed, all the routing rules selected are copied to the new group.

  • Based on the new group's date, the valid date will be auto selected based on the Arrival and Departure dates selected for the new group.

  • By default, the dates between arrival and departure shoulder dates are selected.

Group Account Rules

  • The routing rules added under the Group Account Rules are displayed in this section.

  • By default, the applicable routing rules are displayed individually and selected in this modal, which will copy them to the new group.

  • Users can uncheck the routing rule checkbox if they are not required to be copied.

  • If no group account routing rules are enabled with the above option or no group account rules are available in the original group, this section is not displayed.

  • Once the copy is completed, all the routing rules selected are copied to the new group.

  • Based on the new group's date, the valid date will be auto selected based on the Arrival and Departure dates selected for the new group.

  • By default, the dates between arrival and departure shoulder dates are selected.

Reservation Preset

  • This section contains the Copy Reservation Preset values checkbox to copy the values to the new group, which is enabled by default.

  • Users can copy the reservation preset values added to the original group to the new one.

  • When selected, all the values are added to the new group.

  • By default, this checkbox is enabled to copy the values to the new group.

  • Users can uncheck the values that are not required to be copied to the new group.

  • Once the copy is completed, all the reservation preset values in the original group will be copied to the new group.

  • The Member ID in the reservation preset values will not be copied to the new group.

Payment Methods

  • All the payment methods available in the original group are selected and displayed in the Copy Group screen.

  • The default payment method is indicated by a Default label.

  • Users can uncheck the payment methods that are not required to be copied.

  • When the default payment method of a group is copied, it is added as the default method for the copied group.

  • When the default payment method is not copied, the Cash payment method is added to the copied group and marked as the default method.

Housing Restricted

  • The Housing Restricted checkbox is checked and displayed in the Copy Group screen only if the Housing Restricted feature setting is enabled, and the Housing Restricted checkbox is checked for the original group.  

  • The status, Enabled, is displayed below the checkbox.

  • When this checkbox is selected, it is copied to the new group with Enabled status.

Once all the required fields are selected, users can click the Copy button to copy the selected details to the new group. When overbooking is performed, the credentials of the users are validated to check if the user has the required permission. An entry for the group created through copy is created in the History section of the new group in the following format: Group copied from <Original Group Code>.
